Streamlining Workflow Management with Power Apps and SharePoint: Enhancing Efficiency and Approval Processes

Challenge:

The client is utilizing Power Apps support portal designed to create various forms, which undergoes multiple levels of approval before being processed by the support team. However, the portal posed significant challenges for the administrator, particularly in managing SharePoint data—such as adding or removing users—and in efficiently extracting reports from the database. The primary requirement was to streamline these processes, enabling the administrator to manage SharePoint lists and generate reports with greater ease and efficiency.

Our Strategy:

Chimera proposed a comprehensive reorganization of the SharePoint lists, including the removal of unused fields, to streamline data management and facilitate more efficient report generation. Additionally, environment-based testing for the existing Canvas app and workflows was enabled by implementing unique file naming conventions for each environment. Our approach emphasized solution-oriented development, utilizing unmanaged solutions in the development environment and transitioning to managed solutions for UAT and production environments to ensure robust and scalable implementation.

Our Solution:

The requestor list was separated from the existing role mapping workflow list and established as an independent list, mapping the requestors to their respective countries and departments. The Canvas app was enhanced to retrieve and display data accordingly. A Power Automate workflow was implemented to streamline the approval process, ensuring a seamless experience. Approvers are now notified via email and Teams approval flows, allowing them to directly approve or reject forms. Additionally, unused fields in the SharePoint list were removed, and necessary adjustments were made to the form submission and approval processes to ensure no adverse impact. Chimera successfully completed the entire analysis and development within eight weeks.

  • Managing the SharePoint list became significantly easier, allowing administrators to quickly add or remove requestors and update the approval matrix with minimal effort.
